Documents you can trust, find, and prove

Organisations cannot afford information chaos that disrupts operations and stifles growth. I turn scattered documents and unreliable data into trusted, findable, usable information

Digital Doesn’t Mean Done

Most organizations have digital files. Few have trustworthy, manageable knowledge. Versions multiply, folders grow without structure, and teams spend more time searching than using information.
Why do documents have so many versions? As multiple users access and edit documents, version control becomes a problem. Lack of tracking means missed changes and confusion about the current version, and manual version control consumes time while being hard to get right. That lack of central control leads to:
• Outdated policies or safety documents used unknowingly, resulting in audit failures and potential fines
• Sensitive files stored on unauthorized platforms without proper encryption or access controls
• Outdated contracts and order specifications causing delays and financial losses
• Executives basing strategic decisions on conflicting or incomplete reports

My Approach

“Digital transformation is not measured by how much you have uploaded to the cloud. It is measured by whether you can trust a document, find it, and prove what you did with it.”

Before choosing or configuring any system, I map how documents actually move through your organization, not how they are supposed to move. I standardize first, then automate, and train your teams throughout, so the system is still used after I leave.
What this looks like in practice
At the Council of Europe, I compiled and indexed laws and judicial decisions into internal databases, with taxonomies and metadata structures that made them retrievable. For a UN peacekeeping mission, I managed centralized platforms tracking thousands of operational and technical documents, and I developed digital systems that gathered contributions across humanitarian and development fields.

Breaking Data and Communication silos

Fragmented systems create communication silos. Research shows miscommunication costs $12,506 per employee annually, which means a 200-person organization can lose $2.5 million a year to information trapped across disconnected platforms. I design integrated information architectures that eliminate tool fragmentation: structuring databases, implementing SharePoint systems, developing taxonomies, and automating workflows that connect rather than isolate.

Implementation is only half the battle, adoption is where transformation happens.

The greatest challenge in document management isn’t choosing the right system, it’s ensuring your team actually uses it effectively. Research shows that 75% of organizations struggle with user adoption, not technology. Without comprehensive training, change management strategies, and ongoing support, even the most sophisticated systems become expensive digital graveyards. I bridge this gap by formalizing information into documents that are standardized, verifiable, and retrievable, implementing templates, version control, and approval workflows while ensuring your team embraces the transformation. Success requires both the right infrastructure and the right adoption strategy to turn documentation from burden into strategic asset.
